Key Responsibilities

  • Provide administrative support to team, including correspondence, travel, meeting planning and organisation, expense reports
  • Coordinate and manage complex executive calendars
  • Administrative support to Italian team as required including assistance with slide/poster/manuscript preparation, distribution of meeting materials, coordination of meetings, taking meeting minutes
  • Work in and contribute towards a team-oriented environment
  • Draft and edit documents and develop PowerPoint presentations as well as developing and handling of complex Excel Workbooks.
  • Responsible for administration, filing, record keeping and archiving of critical documents
  • Acting as a coordinator of information and communication within the management team
  • Managing and filtering phone calls, mail and email, clarifying/highlighting required actions and responses
  • Welcoming guests and business partners
  • Maintain vendor relationships
  • Participating in the planning of office activities
  • Developing and refining administrative procedures in the office using technology to streamline processes
  • Independently driving and completing assigned tasks/projects
  • Timely delivering tasks of assignments
  • Proactively picking up any tasks / issues as required, including acting as back-up for other TESARO assistants as needed
  • Support the budget process / handling contracts, signatures, invoices
  • Coordination of office services and overseeing facilities management for TESARO
