Document management (eg orders / contracts with external agencies )
Telephone inquiry acceptance and if possible processing
Purchase order initiation, invoices review and entry in procurement systems
Manage/update departmental documentation lists
Appointment management, preparation / organization of meetings and conferences (both external and internal)
Ordering / organization of caterings as well as purchase order requisitions
Booking of external meeting rooms
Organisation / support of meetings / events internally (teleconferences, department meetings incl. logging etc.) and externally (congresses, meetings with KOLs, ad boards, health policy symposia etc. )
Travel planning and booking
Initiation of due diligence evaluations with vendors
Support of donation request and related processes
Support in Patient Organisation Request approvals from all departments
Archiving and management of documents / support in the general contract process (e.g. obtaining signatures
Maintenance and development of internal MACA share drive (documentation and storage of MACA knowledge)
Participation in MACA projects
Documention of meetings and creating presentations
Your Qualifications
Experience in the assistance area
Organisational strength
University degree (bachelor / master) as an asset - preferably in the area of healthcare management
Experience / knowledge of the German health care system
Experience in the pharmaceutical industry as an asset
Good knowledge of German and English
Secure Communication
Enjoyment of team and project work
Positive attitude, solution-oriented approach
Very good knowledge of MS Office and IT administration systems
