Job ResponsibilitiesAdding people and overseeing changes affecting employees payroll to the monthly payroll tracker, ensuring that these changes are also captured in backup documents where appropriate.Preparing contracts of employment or addendum to contract letters. Set up new employee notifications informing relevant stakeholders of joiners to support the onboarding process.Preparing standard HR letters e.g. mortgage reference letters, employee reference letters, promotions, probationary review and maternity letters.Preparing and updating paper and electronic employee files.Scanning, filing, and tracking receipt of new joiner documentation, ensuring new starter details are entered onto appropriate tracking sheets and archive files are maintained to legal standard.Supporting the electronic filing project with the transfer of soft employee files to the new electronic filing system when launched.Downloading monthly absence report from Workday and providing to HRBPs.Overseeing the Annual HR filing audit.Overseeing the Annual Right to Work in the UK Audit.Checking gym membership trackers and sending out reminder emails.Approving and processing applications for the Cycle to Work Scheme.Contact point for employee benefits, liaising with both employees and external benefit brokers.Raising Purchase Orders for HR and L&D team and any ad-hoc purchase orders.Supporting our Occupational Health partner with arranging independent medical assessments, setting up the monthly health and wellbeing clinics and arranging annual Flu Vaccination Clinics.Processing Salary Sacrifice requests, sending out documentation, setting up the monthly pension clinics with our Financial Advisory Consultants.Producing the monthly master file from Workday.Acting as the HR Contact for first line HR queries for UK & Ireland based managers and employees via the shared service mailbox and over the telephone.Liaising with external provider to deliver Driver Safety Programme, including Licence, MOT and Insurance checks for our field-based employees.Notifying and following up on probation period tracking with managers.Working with an external provider to request and track pre-employment security and reference checks.Supporting HR projects as needed.Any other tasks which may reasonably be expected.Skills And RequirementsCIPD Qualified or part-qualified Skills.Commercial background, ideally in an HR role.GCSE English grade C or above.Knowledge of WorkDay desirable. Demonstrable multitasking, project management, and execution skills.Good interpersonal skills, including communication, presentation, persuasion, and influence.Good organisational skills, including efficiency, punctuality, and collaboration in a team environment.Proficiency with computer skills, such as MS Office.
